How Dental Signal handles information
This policy explains how Nodus Dental Clinic uses Dental Signal to receive, organize, and analyze customer conversations from connected Meta business assets.

Who operates this service
Dental Signal is an internal customer-conversation and clinic operations system used by Nodus Dental Clinic. It is not affiliated with or endorsed by Meta.
Information we process
- Facebook Page, sender, and conversation identifiers supplied through the Meta platform.
- Messages, attachments or interaction events that a customer sends to a connected clinic Page.
- Names, telephone numbers, email addresses, treatment interests, appointment details, and other information a customer voluntarily shares in a conversation.
- Message timestamps, referral or campaign context supplied by Meta, and staff workflow records created while handling an inquiry.
- Security and audit information needed to protect the system and investigate access or processing errors.
How we use information
- Display new clinic inquiries to authorized staff and route them to the appropriate clinic branch.
- Organize customer follow-up, appointment, and handoff workflows.
- Extract conversation signals such as service interest, contact status, and appointment intent for staff review.
- Measure operational performance and improve customer service.
- Protect the service, prevent misuse, and comply with applicable legal obligations.
Automated processing
Dental Signal may use automated rules or AI-assisted extraction to summarize and categorize conversation content for authorized clinic staff. The Meta integration is configured for monitoring and import; Dental Signal does not automatically send replies to customers. Staff remain responsible for customer communication and operational decisions.
Sharing and sale of information
We do not sell customer information. Information may be processed by service providers that host or secure Dental Signal, or disclosed when required by law. Access inside the clinic is limited by staff role and branch.
Retention and security
We retain information only for as long as reasonably necessary for customer service, clinic records, security, dispute resolution, and legal obligations. We use access controls, protected credentials, audit records, and encrypted network connections to reduce the risk of unauthorized access. No system can guarantee absolute security.
Your choices and requests
You may request access, correction, or deletion of information associated with your clinic conversation. Follow the instructions on our Data Deletion page. We may need to verify your identity and may retain limited information where required for legal, security, or record-keeping obligations.
Changes to this policy
We may update this policy when the service, legal requirements, or processing practices change. The effective date above identifies the current version.
